Administrative Assistant - part-time

Job Summary:

The Administrative Assistant provides administrative and operational support to the faculty and students of the Departments of Nursing and Social Work and their respective degree programs.   This position supports two Directors, who will have joint responsibility in developing and advising the individual in his/her position.

Major Responsibilities:

  • Create and/or maintain academic and clinical data bases for students in each program, including health and CPR records, criminal background checks, academic progression, and clinical/field placement records
  • Initiate and maintain clinical/field placement contracts
  • Assist in developing departmental budgets and reconciling departmental ledgers
  • Take and circulate departmental meeting minutes
  • Order and maintain office supplies
  • Maintain Director's and Chair's calendars
  • Assist in planning departmental events as needed
  • Collect and distribute departmental mail
  • Act as first point of contact for departmental leadership and faculty
  • Assist in compiling and writing accreditation reports
  • Create and maintain the field directory for social work
Minimum Education and Experience Required:
  • Minimum High School diploma; Bachelor's degree preferred
  • At least five years' experience in a related clerical support role is required. Prior higher education experience preferred.
  • Knowledge of Word, PowerPoint, Excel, and Access (or similar) applications
  • Excellent verbal and written communication skills
  • Ability to work effectively with a variety of diverse individuals
  • Excellent organization and prioritization skills
  • Ability to manage multiple projects simultaneously
  • Familiarity with budgeting and fiscal processes
  • Requires knowledge of and the ability to use a variety of standard office equipment such as a telephone and computer keyboard
  • Demonstrated ability to work with confidential or sensitive information
